Role Purpose
The Human Resources and Administration Assistant provides professional HR and administrative support to Save the Children’s programme team in Kaduna. The role ensures the Kaduna Field Office operates efficiently by maintaining compliance with Administration Standard Operating Procedures (SOPs) and supporting day-to-day HR functions.

Reports to: HR/Admin Officer, Kaduna
Direct Reports: Janitors
Key Areas of Accountability
1. Human Resource Management
Recruitment
- Coordinate end-to-end volunteer recruitment processes.
- Conduct longlisting/shortlisting, interviews, reference checks, and background checks.
- Prepare contracts and offer letters.
- Facilitate volunteer onboarding and policy orientation.
- Archive all physical recruitment documents and ensure up-to-date uploads to the HR SharePoint system.
Child Safeguarding
- Ensure all new volunteers receive detailed child safeguarding inductions.
- Promote awareness of expected conduct for all SCI representatives and programme beneficiaries.
- Support implementation and monitoring of the Child Safeguarding Policy across the Kaduna Field Office.
Other HR Responsibilities
- Perform additional HR tasks as assigned by the Line Manager.
2. General Administration
- Oversee office premises, ensuring cleanliness and functionality of all facilities.
- Manage utilities, rental payments, and office bills.
- Supervise cleaners and ensure availability of cleaning supplies.
- Guarantee proper opening/closing of the office and authorized weekend access.
- Coordinate business card production for staff.
- Facilitate hotel reservations, air travel bookings, and other logistics.
- Manage incoming/outgoing correspondence and maintain organized filing systems.
- Maintain updated inventories under supervision.
- Update staff attendance records.
- Oversee meeting room bookings and collaborate with IT to ensure functioning equipment.
3. Store Management
- Manage stationery and consumables efficiently.
- Process staff requisitions and distribute supplies for trainings, workshops, and meetings.
- Maintain minimum stock levels to prevent shortages.
- Update inventory cards regularly.
4. Hotel and Venue Bookings
- Arrange hotel and venue bookings and update requesting staff accordingly.
- Negotiate appropriate options ensuring value for money.
- Ensure timely communication about booking confirmations.
- Facilitate all travel-related bookings for the field office.
5. Programme Administration
- Support Kaduna programme teams with administrative coordination such as tracking deadlines, organizing events, and arranging meeting logistics.
- Maintain documentation systems including official documents, manuals, and publications.
- Process invoices and expense claims.
- Ensure flight and accommodation payments are processed within 3 days of invoicing.
- Serve as point of contact for inter-state communication on behalf of the team.
- Collaborate with other departments to support administrative needs such as procurement and stationery supply.

Skills & Experience
Essential
- Bachelor’s degree in Industrial Relations & Personnel Management, Business Administration, Social Sciences, or a related field.
- Minimum of 2 years’ experience in a similar role.
- Strong computer literacy and proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Ability to draft professional documents.
- Solid understanding of administrative systems and filing procedures.
- High personal integrity and professional responsibility.
